Discussion Items:

 

General Updates:

 

  1. Shenandoah will present the proposed Landscape Design Plan to the FRCA Property and Grounds committee at the April 23rd meeting (1:00).

 

  1. During the recent meeting of the FRCA and Villa Boards, a proposed agreement was reached regarding the limits of maintenance responsibility for common areas impacting both the single family homes and the Villas. Specific areas addressed include the transitional spaces between the single family homes and the villas on Harborton Lane.

 

  1. The Standard Operating Procedures (SOP) for managing resident monetary contributions to the community landscaping efforts has been approved by the Board and is posted for the required 30-day review and comment period (ending April 8).  To date, only one comment has been received

 

Peggy continued her search of OTS landscape design software and shared the outputs from Landscape Vision.  The software was user friendly, easily allowed design conceptualization, and provided cost estimates based on the design selected.  She purchased this software for her own use and the shared use by the committee.

 

The Committee members reviewed draft guidelines to address the resident use of common areas for planting beds or other enhancements and provided comments and suggestions.  The Guidelines will be revised and disseminated prior to the next meeting.

 

The original committee Action Plan was reviewed.  Though the progress to date has been slower than originally planned, most of Phase I activities have been completed and we have moved into Phase II of the plan.  As the nature of the committee work changes, new tasks will be emerging.  Proposed new committee task assignments were discussed.

 

A proposal for extension of natural areas in the Villas was prepared by Villas resident Frank Burroughs who was not in attendance but left a handout for the Committee’s consideration.  The Committee will assess the proposal in the context of the total Villas landscape plan.

 

The meeting schedule is back to the 2nd and 4th Thursdays of the month.

 

Decisions Made:

 

The revised version of guidelines for resident modification of common areas will be prepared for discussion at the next committee meeting.

 

The next meeting will be scheduled for April 10th.

 

Action Items:

 

Receive, track, and summarize comments received regarding SOP for managing Resident Monetary Contributions to the Villa beautification effort. (Emery)

 

Attend the Shenandoah presentation of the proposed landscape design to the Property and Grounds Committee meeting on April 23. (All)

 

Prepare revised draft document addressing resident modification of Villa common areas for discussion at the next meeting. (Elaine)

 

Continue learning the capabilities of Landscape Vision landscape design software. (Peggy)

 

Continue to conduct research on available resources for both materials and information. (All)

 

Continue to recruit members for the committee. (All)
