Modifications Committee Meeting Minutes for 08/12/09
The Modifications Committee met on Wednesday at 10 AM. Members present were Nancy Arnn, Joan Bitely, Bill Chance, Jim Eppes, Betty Whiteaker and Shirley Sommer. We welcomed Paul Niemi as a new member of the committee. Also present were Tom Whalen and Jack Mounts, both BOD members. Several residents whose applications were being reviewed attended.

Considerable time was spent going over the recommendations to improve inspections, made by the BOD, Covenants Comm., and residents.
Jim Eppes has prepared a rough draft of a form that could be used to register a complaint and prompt an inspection of a residence. It would require a signature and would be available through the concierge. We will pursue this if the BOD sees fit.
We reviewed the letters being sent about noncompliance with the Design Guidelines and found them to be informative and non-threatening. They could be more descriptive of the violation being cited. We decided against resurrecting the "Notice of Violation" that was used in July, 2006.
In preparation for our pre-inspections, all committee members were given maps of a section of Falls Run and sheets on which to record violations. We all have updated "Guidelines for Inspections". Pre-inspections will begin on 09-01 and will be announced on Yahoo and channel 20 starting 08-18. Paul Niemi feels strongly that the Villas should be included in the inspection. He will do the inspection there.
The semi-annual inspection will be on 09-15 and will be announced in the Gazette as well as on channel 20.
Shirley called attention to an error on the Single Family Application. On page 3 the first place required to be initialed refers to Article 9.4 of the CC&Rs . This should be Article 8.4. This will be noted the next time the application is revised. It has been suggested that we cut it down to 2 pages, but we don't see how that can be done. An alternative would be to print on both sides of the page.
The next meeting will be on 09-09. The chairman will be out of town on 10-14, so that meeting is being changed to 10-13. The change will be announced on channel 20 and Yahoo.
