Notes - Communications Committee Meeting, October 2, 2007

 

Attendees: Margie Kramer, Denzil Willis, Dan Augustine, Norm Kolb, Jack Mounts, Communications Committee; Dan Owens, Bill Nosal, and Jake Bernard, Board; Ann Jones, Sylva Southwell, Mary Mork and Mary Grace Niemi.

 

Welcome Committee

 

There was general agreement on how the Welcome Committee (WC) is to function.  Mary Mork will greet new residents in the individual homes and Mary Grace Niemi will meet the new people in the Villas.  Both have begun their visitations.  Working together, they will determine which materials are most valuable for new residents and will obtain and store the information packets. They will report to Ann the names of those new residents they visited.

 

Sylva will provide the names and addresses of new residents to Ann and the WC immediately after the "closing."  She and Ann also will forward names of renters when they appear on the tenant verification form, are briefed on the gates or complete the forms to receive Center ID cards.

 

Ann and the concierges will provide new residents with copies of the Directory, the Center Committee Rules and Regulations and Pool Rules.  The WC will provide new residents with materials outside of FR (e.g., Stafford County, Fredericksburg, etc.).

 

Status of Media Player Equipment

 

Discussed was a September 11 email to Sylva and Ann which asked for the status of the FR media player equipment located in the Audio Room of the Center.  Addressed in the email was the question as to whether or not the Media Player is now adequately protected from electrical surges, which caused the equipment's malfunction and subsequent replacement. The following action items resulted from the discussion:

 

o  Sylva will review immediately with Dominion, on surge protection, and R. D. Samuels the need for additional "grounding" of the equipment on the rack, as well as throughout the Center/gate complex, and make corrections, as necessary.

 

o  Denzil and Dan A., under Ann's direction, will research the most effective computer surge protector and computer data backup for the Center computers, the Media Player equipment and Sylva's FR database and will present their recommendations to Ann.  It was noted that the equipment and software could probably be purchased under Ann's current 2007 budget. 

 

Falls Run Information System (FRIS) 

 

Com Com asked Sylva to begin the interface with Armstrong computer operations on any adjustments that may be needed to accommodate FRIS.  Four members of Com Com will be briefed by Sylva on the contents of the Armstrong Connect system after she has been briefed on the PDA.  Any requests by Com Com for adjustments to the Connect system will be forwarded after the briefing.

 

Bill Nosal noted that a top priority should be placed on development for FR residents of the Armstrong Alert system.
