Email to Jim Armstrong, August 14, 2007 (Implementation of FRIS put on hold)

 

Jim Armstrong:  As you are aware, because of the large number of priority projects facing Falls Run, implementation of FRIS will be put on hold until you and the BOD determine how and when the implementation is to take place.  This email details the steps that the Communications Committee believes will be necessary to implement FRIS, with comments about the status and issues.  Com Com awaits your decisions as to when and how FRIS will be implemented and will actively support your future implementation plans.

 

1.  Completion of basic FR information database.

 

a.  Tenant Certification letter:  The second letter was sent out on July 24 to FR offsite residents who did not return the first letter.  The data obtained through this effort should be entered into either the FRIS db maintained by Len Godek or into the Armstrong Connect FR resident information db.

 

b.  Completion of the FR Census:  Accurate lists of FR residents who do not appear to have completed the census should be developed.  The census may be completed by one of the following methods: (1) checking with the FR resident files for those persons who have completed the Age Verification Form, (2) calling the persons on the listing and asking their ages, or (3) asking the residents to complete the census forms.  The data obtained through this effort should be entered into either the FRIS db maintained by Len Godek or into the Armstrong Connect resident information db.

 

2.  Transfer of FRIS db into Armstrong Connect db.

 

a.   The data from the FRIS db maintained by Len Godek should be entered into the Armstrong Connect FR resident information db.  The questions are: (1) how is this is to be done, (2) who is to do it and (3) when is it to be done.

 

3.   Entering new data into the Armstrong Connect db.

 

a.  New residents have been moving into FR since the beginning of the year.  Questions are:  (1) what process (i.e., who is responsible, the FR Property Manager or Armstrong Fairfax office) has been or will be put into place to ensure that all of the forms generated in the past and those forms generated in the future have been/will be properly completed, filed in the appropriate FR resident file and the data entered into the Armstrong Connect system, and (2) will the FR resident files be moved from Fairfax to Falls Run and, if so, when.

 

4.  FR residents gaining access to Armstrong Connect.

 

a.  FR residents should have access to Armstrong Connect to check the status of their financial information and update their personal information.  Questions are: (1)  when will this happen, and (2) will the type and format of the information inputted by the FR residents match the information in the FRIS.
