Notes – Meeting to Review Resale Package Status, March 7,2007
Jim Armstrong and Jack Mounts, Chair Communications Committee, met Wednesday, March 7, to review the status of the FR Resale (Disclosure) packages, which are being configured to produce data for the FRIS and to provide an introduction for new residents to Falls Run. The following, developed by Com Com, will be included in the Supplemental Folder (not bound): FRIS forms (Age Affidavit, Tenant Certification, and Resident Information), a write-up introducing Falls Run, Main Gate information, and contact information. The Disclosure package, which is bound, contains repetitive information, such as the CC&R's.
Jim said that he will produce a copy of the Disclosure Package and Supplemental Folder, using the Com Com documents, for review by the Com Com and the Board.
Jim commented also on the plan to implement the FRIS Tenant Occupancy part of FRIS, which is designed to: (1) provide the names of the tenants within 20 days of signing of a lease and (2) ensure that the tenants meet the age restrictions. He said that it would be preferable to withhold privileges (i.e., use of the Community Center) rather than impose a $100 assessment for not submitting a Tenant Certification form in the required time limit. The revised FRIS Tenant Occupancy Implementation Plan will be submitted to the Board for review.
Jack noted that Com Com is putting together the FRIS database, updating the old database with a current list of homeowners obtained from Armstrong, creating the information for the Directory and inputting the emergency contacts for residents from the Resident Information Update Forms, and integrating the data from the FR Census into the FRIS database.
When the data from the Census is completed, the Board will have a listing of FR homes qualifying for the over 55 age requirement. A manual census, then, can be conducted to complete the database.
Completion of the FRIS database by Com Com will take two or three months. At that time, it will be released to Armstrong for automatic updating via input from the FRIS forms as new residents come into FR.
A meeting between Armstrong and Charles management companies to discuss creation of a unified FR FRIS database is to be scheduled.
