Notes – Communications Committee Meeting, January 5, 2007

  Attendees:  Bill Arnst, Len Godek, Norm Kolb, Marv Koontz, Margie Kramer, Diana Naatjes, Denzil Willis and Jack Mounts, Com Com; Dan Owens, Board liaison; and Ann Jones.

 

1.  The following were accomplished during December:  (1) the Audio Room modification was presented to the BOD and approved, (2) media guidelines for committees and clubs were developed by Com Com, approved by the BOD, was put on the FR Website and are being distributed by Ann Jones, and (3) an article by Ann and Jack was written and appeared in the January issue of Gazette on the results of FR media survey shaping the FR media.

 

2.  Com Com reviewed approaches to increasing the effectiveness of BOD communications with the FR residents and wrote and submitted to the BOD, for approval, a letter summarizing the Com Com recommendations (attached).  The recommendations include production of a one-page monthly insert into the Gazette presenting FR BOD and Villas BOD information.

 

3.  Production of the new FR Directory was a major topic.  Members of the Directory subcommittee are: Len Godek, Norm Kolb, Margie Kramer, Diana Naatjes and Bill Arnst, Chair.   A complete revision of the Directory will be produced, with a target availability date of May.  Updating of resident information is a formidable task, especially since the turnover of management companies to Armstrong.  The exact processes of updating the resident information will be coordinated with Armstrong in the January 10 meeting with Com Com.  The subcommittee again will make efforts to obtain advertising to offset the costs of publication and will coordinate with the Gazette advertising staff.  A major effort will be made to have the FR residents provide updates to the Resident Information Update Form available from the concierges.  Discussion also covered the production aspects, including increasing the appearance of Directory (i.e., cover, layout of names, addresses, telephone numbers and email address).  The subcommittee will keep the Com Com apprised of scheduling, processes and major decisions, coordinating closely with the effort needed to implement the Falls Run Information System (FRIS).

 

 4.  Discussion was held in preparation for the meeting with Armstrong management January 10 to talk about implementing FRIS.  Topics at the January 10 meeting will include what Armstrong will be providing FR in relation to overall computer support, Armstrong's understanding of implementing FRIS, the contents of the packages Armstrong will give to new homeowners, Armstrong's coordination with the Falls Run Website, and coordination between Armstrong and Com Com to schedule the steps to implement the FRIS
