Notes – Communications Committee meeting, August 7

 Attendees:  Margie Kramer, Len Godek, Denzil Willis, Bill Arnst, Communications Committee; Dan Owens, Board liaison; Sylva Southwell, Elaine Curry, Koger Management; and Bill Nosal, guest.  The following are general notes resulting from the meeting:

 o  Elaine and Sylva provided input on the general approaches to be used by Koger Management to implement the new VMS computer system which is replacing the AVGAR system.  Access to the VMS will be through a Koger Website.  Elaine and Sylva were not fully briefed on the VMS and were able to provide only general details of the system operation and its compatibility with the Falls Run Information System (FRIS).

 o  Discussions were held regarding the detailed implementation of FRIS and how the Koger Fredericksburg office would interface and implement the system through the input of data from the Age Qualification Statement, the Purchaser/Tenant Certification and the Fall Run Resident Information Update form.  The FRIS would provide ongoing updates of the Falls Run Census information.

 o  The Com Com agreed to change the tenant form to include the statement that the names of tenants, other than those signing the tenant agreement, would be optional.

 o  Bill Arnst said that the names of emergency contact persons solicited from residents by the Neighborhood Watch could be input into FRIS, but only if each resident gave their permission to do so.

o  Com Com agreed that it would request a meeting with Koger Management computer and management personnel in Fairfax on August 29.  This meeting was confirmed per the attachment discussing a later telephone call between Jack and Jeff Koger.
